5 Essential Rules for Press-Ready Files

Preparing layout files for commercial printing doesn't have to be complicated. Follow this checklist to ensure your cards, flyers, and banners come out sharp and color-true:

1. Set Color Mode to CMYK

Always design in the CMYK (Cyan, Magenta, Yellow, Key/Black) color space. RGB is meant for glowing screens, and sending RGB files to an offset or large format press will result in unexpected, shifted, or muddy colors.

2. Include Bleed and Safety Margins

To prevent white borders after trimming:

  • Add a 0.125" (3mm) bleed margin to all outer edges of your canvas.
  • Keep all critical text and logos at least 0.125" inside the trim line (the safety zone).

3. Outline Your Fonts

To avoid standard missing font replacement errors:

  • In Illustrator, select your text and convert it to vector paths using Ctrl+Shift+O (or Cmd+Shift+O on Mac).
  • In Photoshop or InDesign, ensure your PDF export settings have fonts fully embedded.

4. Image Resolution

  • Ensure all photos, logos, and raster images are at least 300 DPI (dots per inch) at their final printed size.
  • Standard web graphics (usually 72 DPI) will print blurry and pixelated.

5. Export as Press-Quality PDF

  • Use the standard PDF/X-1a:2001 or PDF/X-4 preset when exporting.
  • This automatically flattens transparent layers, outlines compatibility, and preserves color profiles for pre-press G7 check.
